Reverse Traceability: A Survival Tool for ASA-100 Audits

In every ASA-100 audit, one of the most challenging — and most revealing questions is:

“Can you prove who purchased this part, when it was sold, with which documentation, and under what specific conditions?”

Most distributors focus on incoming traceability, but often neglect reverse traceability  from the customer back to the source.  This omission is increasingly treated as a major non-conformity during audits.

What ASA-100 Requires

According to Section 5.0 of ASA-100, your system must maintain full records for each part sold, including:

Original supplier information

Certificates of Conformance or FAA 8130-3

Internal documentation (inspection, receiving, packaging)

Final customer, purchase order number, sale date, and a copy of the certificate delivered

Best Practices to Strengthen Your System

Digitize everything: Avoid losing physical files. Use systems that allow quick search by part number, batch, or customer.

Cross-link incoming and outgoing transactions: Every sale must be traceable back to its original receipt.

Implement internal labels or QR codes: Connect each part to its full digital history.

Conduct internal mock audits: Pick a part sold one year ago and attempt to fully reconstruct its history.
